Agree on who records what
Assign clear responsibilities for dues, expenses, attendance, music and member records. When every Exco knows what to update, records are less likely to be forgotten or duplicated.
Give members useful information
Let each member see their own dues, payments, attendance and important choir updates. This reduces confusion and gives members a simple way to notice and report mistakes.
Keep corrections visible
Correct financial mistakes with a reversal and a short reason instead of deleting the original record. A clear history protects both the choir and the Excos managing its money.
Review records regularly
Choose a regular time for Excos to review unpaid dues, recent expenses, attendance and upcoming events. Small weekly or monthly reviews prevent large problems later.
